Summary

This is the main menu for the FMYiRC internal e-mail system. This e-mail system is designed for internal use by an agency. This means it cannot interface with the world-wide Internet-based e-mail system. Why would an agency choose to use the Freemed-YiRC internal e-mail system if they may already be using Internet E-Mail? Firstly, there is no spam. But more importantly, there are no distractions. This e-mail system only allows users of your Freemed-YiRC system to e-mail other users of the same system. Period.

Features

  • Simplicity
    • The Freemed-YiRC internal e-mail system is simple to use. It is not bloated with often unnecessary features that can make an e-mail system harder to use.
  • Integration
    • The internal e-mail system is tightly integrated into Freemed-YiRC.
      • An icon in the upper-right hand corner of each and every Freemed-YiRC menu (Image:FMYiRC-email-widget.gif) insures quick access to e-mail at all times. In addition, when new e-mail arrives, this icon turns red as a helpful indication (Image:FMYiRC-Email new-widget.gif).
      • Starting with Freemed-YiRC V1.20, a keyboard shortcut (hotkey) allows quick access to e-mail via the ALT-E key combination. In addition, ALT-W can be used to go directly to the new e-mail creation screen.
    • Some Freemed-YiRC modules are capable of creating automated e-mails to users. For example:
      • The newer User Calendar and Group Calendar modules can send users e-mails when important events are coming up.
      • The Contact Database can also send e-mails to human resources personnel when key staff-related dates are coming up... i.e., license renewals, certification expiries, etc...
    • Direct links to documents with Freemed-YiRC Invoice Numbers. More information on this capability is provided in another section of this article.
  • Folders
    • Users can have nearly an unlimited number of folders. The use of folders is highly encouraged, as it helps users be more productive and organized!
  • Forwarding
    • If a user will be out for a period of time (i.e., vacation or medical leave), their e-mail can be forwarded to another user/users so important messages needing attention are not lost.
  • Aliases
    • E-Mail aliases can be created which are used to quickly send e-mails to multiple users. For example an office e-mail alias can be created to allow a user to select one entry in their e-mail To: list instead of having to select multiple people (and possibly leaving people out).
  • Groups
    • If a user has the proper security permission (Use Groups E-Mail module permission), they will also be able to e-mail members of Freemed-YiRC groups directly without choosing individual names in the To: list.

Invoice Number Linking

The Freemed-YiRC internal e-mail system is capable of providing quick, direct, links to certain documents in Freemed-YiRC via the use of Invoice Number Linking. When a user creates an e-mail, they may create a link to a document which has an invoice number by entering the invoice number in the body of the e-mail and surrounding it the <* and *> characters.

  • For example, assuming an invoice number of cn_xxxx_1 (a Casenote - as denoted by cn):
    • <*cn_xxxx_1*>
  • When this text is inserted into the body of an e-mail, anyone reading that e-mail would then be provided with a link directly to that Casenote.
